Searching in the Process Space
The search helps you find processes, architecture elements, attachments and the organization — including data objects and document contents, and targeted with operators such as AND, OR, not and wildcards.
Where You Can Search
The search field Search in ‘<name of the Process Space>’ is available to you at the top of the header area, on the Home page and on all other pages. The search finds content regardless of where it is located in the process hierarchy.
How the Search Works
The search suggests matching search terms as you type, which you can select with a single click. It is based on the beginning of a word; what else you can enter is described in the next section.
The results are displayed in four tabs, each with the number of its hits:
- Processes: Hits in the names, descriptions and version labels of the processes, in the names and descriptions of their contents, in the names of the lanes and in the roles on the process. You can also find Data Objects here: via the processes they are attached to.
- Architecture Elements: Hits in names, descriptions and responsible persons.
- Attachments: Hits in names and descriptions, and for documents also in the content. Each hit names the process or process content the attachment is attached to.
- Organization: Organizational Units and Organizational Roles, found via names, descriptions, responsible persons, deputies and members.
Below each hit, you can see where the search term was found, e.g. “In names of lanes”.
Bpanda searches processes and attachments in the currently valid versions. If your role also allows you to see versions that are no longer valid or not yet valid, you can extend the search to all revisions using the All Revisions switch. If the search finds nothing in the valid versions, it offers this to you directly: Click here to search in all revisions.
What You Can Enter
The search combines several words with AND: a hit must contain all of them. A few characters let you control more precisely what is found.
| Input | Example | Finds |
|---|---|---|
Space or + |
Prozesslandschaft veröffentlichen |
Hits containing both words |
| |
veröffentlichen | dokumentieren |
Hits containing at least one of the words (OR) |
- before a word |
Prozesslandschaft -veröffentlichen |
Hits containing “Prozesslandschaft” but not “veröffentlichen” (not) |
"…" |
"Prozesslandschaft veröffentlichen" |
exactly this sequence of words, whole words only |
* at the end of a word |
Prozessland* veröffentlichen |
Words that begin this way, e.g. “Prozesslandschaft” (wildcard) |
( ) |
(veröffentlichen | verwerfen) Prozesslandschaft |
“Prozesslandschaft” together with one of the words in the parentheses |
~ and a number |
veröffentlicen~1 |
also words that differ by that many letters, here “veröffentlichen” |
The search completes the last word itself. Bpanda appends a * to the last word of your entry. veröffentlichen Prozessland therefore finds “Prozesslandschaft veröffentlichen”, whereas Prozessland veröffentlichen finds nothing: a word before it must be complete or carry a * itself. The completion is omitted if the entire entry is in quotation marks or contains |, ( or ~.
No hit in the middle of a word. The search is always based on the beginning of a word. landschaft finds “Landschaftsdokumentation”, but not “Prozesslandschaft”.
No error message. The search adds a missing closing quotation mark, and it ignores characters it cannot evaluate.
How to Search in the Process Space
Prerequisites
There is published content that is visible to you.
Context
When a process is imported, Bpanda adds the names and descriptions of the process and its contents to the search index. The suggestions offered as you type also come from this index.
How to Proceed
-
Click in the search field Search in ‘<name of the Process Space>’ and enter the beginning of the term you are looking for.
A selection list with matching search terms from the index appears below the search field.
-
Click a search term or confirm your entry.
The search results appear in the Processes tab.
-
To view architecture elements, attachments or the organization, select the corresponding tab.
-
To extend the search to all revisions, activate All Revisions.
-
To view the process diagram of a hit, click the thumbnail of the process.
The process diagram appears. You can ⋮ export it as an SVG and print it, change the display size, select elements and view their Descriptions and Attachments.
-
To open a hit, click its name.
For a process, the process page appears; for an architecture element, an Organizational Unit or an Organizational Role, their page appears. Bpanda opens an attachment directly: images, PDF documents and videos in a preview, other documents as a download, links in a new browser window. Via the process name below the attachment, you can navigate to the process or process content it is attached to.
You can return to the search results using your browser’s back function.
