Taking and Carrying Out a Job

It is possible to skip a workstep or add an additional one when executing a job. You should always add a comment when a job is changed to support process improvement.

What to do when Taking a Job

You can take a job if you wish to carry out one, many or all worksteps of a job.

Execution of the workstep is started when it is selected in the job checklist and stopped by clicking it. The last workstep in an exclusive or a parallel section ends this section; the last workstep in a job completes the entire job.

You do not necessarily need to keep to the order in the process when carrying out a workstep within a section.

If a workstep can be skipped for what ever reason, then you can go ahead and skip it or cancel it. You should always add a message in both cases in case e.g. any changes need to be made to the process.

If an extra workstep is needed for what ever reason, then you can add an extra workstep e.g. if a complex workstep is regularly split up for various people to carry out parts of it. A message should always contain the reason for adding the extra workstep.

Completed worksteps are ticked off the checklist for the job on the right-hand side of the job page and shown as completed in the diagram.

Executing and Completing a Workstep

Prerequisites

You can select the workstep as it is assigned to your lane or no lane.

Context

Select the workstep to execute it and close it once you have completed it. Mark it as completed to keep job implementation transparent.

The Take Job button appears if more than one employee could take on the workstep.

Attachments and descriptions may contain relevant information for you.

How to proceed

  1. Click on  <workstep> in the job checklist if you want to take on a workstep.

    This action is logged in the job log (started: '<workstep>').

    The workstep has a green frame in the graphic depiction and your profile picture is shown next to it.

    You can see the  attachment or  description icons if any exist.

  2. Click on at the bottom of the job log or on in the checklist to mark the workstep as completed.

    The workstep is logged as completed and marked in italics in the checklist.

Handing Over a Workstep

Prerequisites

The next workstep is in another lane and marked with an arrow.

Context

Select the workstep to hand it over to another lane. This is necessary even if you are assigned to the lane you wish to handover to.

How to proceed

  1. Click on  <workstep>  in the job checklist if you want to hand over a workstep.

    The Hand Over to '{{lane}}' dialog appears. It lists the possible owners for the next section.

  2. Activate the check box for the entries you wish to hand over the workstep to.

    The Hand Over button is activated.

  3. Click on Hand Over.

    The workstep is handed over as an assignment to the employees who were checked in the previous step.

    Handover is logged in the log (<user> has handed the job over to '<lane>').

    An icon appears in the graphic depiction showing  an owner or  multiple owners.

Canceling a Workstep

Prerequisites

You have selected a workstep to carry out.

Context

You feel that this workstep is unnecessary in this job or in general. You should write a detailed account of why this workstep was skipped as a message in the job log.

It is possible to hand the workstep over to another colleague to make a decision as to whether it should be canceled.

How to proceed

  • To irrevocably cancel an unnecessary workstep, click on at the bottom of the job log and select Cancel Step.

    The workstep is logged as canceled.

Adding an Extra Workstep

Prerequisites

You can only add a workstep to your lane or no lane.

Context

This adds a workstep to the job that was not previously considered within the process. You should write a detailed explanation as to why this workstep was skipped as a message in the job log.

The additional workstep is then inserted in front of the next workstep in the checklist. Your profile picture appears.

How to proceed

  1. Select Add Step from the  submenu on the right-hand side to add an additional workstep.

    The Add Step dialog appears. A message shows where the workstep will be added.

  2. Add a meaningful name for the workstep in the Add Step dialog.
  3. If you do not wish to immediately execute the workstep, then deactivate the Start Step check box.
  4. Click on Add.

    The additional workstep is added to specified insertion point.

  5. Add the reason for the extra workstep as a message to the job log.
