Appointing a Process Owner

The Process Owners is the expert in charge of a process. Another Process Owner is mainly used as a deputy.

Prerequisites

You are BPM Manager or Process Owner.

Context

The Process Owner is the contact partner for all Process Users and has all permissions for the process they are in charge of.

They can set process visibility, manage roles and attachments for the process and organize release of a new process version using a review.

Note

The user who imports or submits a new process is initially the Process Owner.

Only BPM Managers or Process Designers can initially import or submit a process.

You can then assign the actual technical expert as Process Owner once you have initially imported or submitted a process.

Another Process Owner can be set mainly to be used as a deputy.

User assignments to process-related roles are not lost when a process is updated by a revision.

How to proceed

  1. Click on  Settings and Information on the process page.

    The dialog of the same name appears..

  2. Click on Roles and Permissions.

    The page shows the Process Owners, Process Collaborators, Process Participants and Blocked Users sections.

  3. Click on in the Process Owners section to add a process owner.

    The Select Process Owners dialog appears.

  4. You can use the search field to search for a user via their name or e-mail address; simply start typing it in the search field.

    The list is narrowed to show the respective hits.

  5. Activate the check box to set a user as Process Owner.

  6. Activate the  Only selected selection filter to show all current Process Owners.

    The current Process Owners appear.

  7. Click on Apply Selection to confirm the current Process Owners.

    The adopted Process Owners are listed.

  8. Deactivate the selection to remove a Process Owner.

    The user is removed as Process Owner.
