Inviting Users to the Process Space

As a BPM Manager, you can invite users to your Process Space.

You can only invite users who have a license in the Bpanda Account Management. With the invitation, they can log in to the Process Space and view all valid processes; you assign further roles afterwards.

Prerequisites

You are a BPM Manager.

The users you want to invite have a license in the Bpanda Account Management.

Context

Processes are realized through a division of labor. As a BPM Manager, you organize your colleagues’ access to their processes. To use the processes in a Process Space, the colleagues involved must first be invited to the Process Space as users.

Once invited, the colleagues are initially able to log in to the Process Space and to access and view all valid processes via the Process Map or the search.

BPM Managers and Process Owners can then assign further roles to the users. Review Owners can do this for the reviews they are responsible for.

In the Account Management, users receive their license, individually or via a group. Only with a license can you invite them to a Process Space. See Assigning Licenses.

You can

  • use All users who have not yet been invited are invited automatically to invite all users who do not yet have an invitation, and in future every newly licensed user automatically,
  • use All users who have not yet been invited to invite everyone who does not yet have an invitation once or
  • use Selected users to invite only the users you select.

If you enable automatic invitations, Bpanda immediately invites all users who do not yet have an invitation. After that, every user receives an invitation as soon as they are given a license for the Process Space. Bpanda always invites BPM Managers, even without this option.

How to Proceed

  1. In the main menu, select Settings and then Manage Process Space.

    The page of the same name appears. You are in the Process Hierarchy tab.

  2. Switch to the Manage Users tab.

  3. To invite users, click Invite Users in the All Users and Groups in the Process Space section.

    The Invite Users page appears.

  4. To add users without an invitation email, enable Suppress invitation emails. The user then has access immediately but does not receive an email. The setting applies to all three types of invitation and is not available in every installation.

  5. To invite all users who have not yet been invited automatically, select the All users who have not yet been invited are invited automatically option, write a personal message for the future users and click Save Settings.

    Bpanda now invites all users who do not yet have an invitation. After that, Bpanda sends every newly licensed user an invitation containing your message and a link to the Process Space.

  6. To invite all users who have not yet been invited, select the All users who have not yet been invited option, optionally write a personal message for the displayed users to be invited and click Invite Users.

    Invitations containing the message you entered and a link to the Process Space are sent to the email addresses of the displayed users.

  7. To invite specific users, select the Selected users option, click the edit icon, select the check box of every user you want to invite in the Invite Users dialog, optionally write a personal message for the displayed users to be invited and click Invite Users.
