Assigning Process Owners for Several Processes

Assign Process Owners for many processes at once, via Manage Processes > Actions tab.

As an expert, the Process Owner is responsible for the content of a process. You can assign several Process Owners. You indicate which of them is the deputy by means of a Competence, see Creating and Assigning Competences. You cannot deliberately determine the order of the entries.

Prerequisites

You are a BPM Manager or Process Owner.

Context

Note: Initially, when a new process is imported or submitted, the executing user becomes the Process Owner. Only BPM Managers or Process Designers can carry out the initial import or submission of a process.

If you assign a different Process Owner after the import or first submission, you transfer responsibility to the actual subject matter expert.

You can assign several Process Owners. You indicate which of them is the deputy by means of a Competence, see Creating and Assigning Competences. You cannot deliberately determine the order of the entries.

For all further updates of a process by revisions, the assignments of users to the process-related roles are retained.

Users can be assigned to a process as Process Owners; read-only users are not available in the selection.

The Assign Process Owners page contains a table with a selection column and the columns Process Name, Process Level and Process Owners, each of which you can restrict to certain entries using Filters.

Use the check boxes to select the processes to which you want to assign the same Process Owners.

Information can be called up for each process.

How to proceed

  1. In the main menu, select Processes > Manage Processes.

    The overview page of the same name appears.

  2. Select the Actions tab.

  3. Select the Assign Process Owners action in the Roles and Permissions tile.

    The page of the same name appears.

    The table shows the BPM Manager all processes of the Process Space, and a Process Owner their own. If there are many entries, it is split over several pages.

  4. A filter means less paging: restrict the list of processes using the filters. To do so, click on the filter, set the filter and close the filter selection by clicking on the filter again.

    The table is restricted accordingly.

  5. Activate the check boxes of the processes to which you want to assign the same Process Owners.

  6. Click on Execute action on [Number] process(es).

    A selection dialog with users appears.

  7. Activate the check boxes of the users you want to assign to the selected processes as Process Owners.

  8. To remove a Process Owner, deactivate their check box.

  9. To overwrite the current Process Owners with your selection, click on Overwrite.

    The desired selection is applied and displayed in the Process Owners column.

  10. To add your selection to the current Process Owners, click on Add.

    The selection is applied to the Process Owners column.
