Setting Process Contributors for Multiple Processes
Set Process Contributors for many processes at once, via Manage Processes > Actions tab.
Process Contributors have access to all process versions and the attachments. They can find the processes they have been assigned to under Relevant Processes. They are notified about these processes, e.g. about new revisions, published versions, new attachments and questions.
Prerequisites
You are the Process Owner of the process or a BPM Manager.
Context
Users, groups, organisational units or organisational roles can be assigned to a process as Process Contributors; read-only users are not available in the selection. Among other things, this role assignment means that the processes are displayed to the users under Relevant Processes. They are automatically notified of relevant changes to the process.
Process Contributors support the Process Owners with their professional expertise. They have access to all process versions and can also manage attachments.
How to proceed
-
In the main menu, select Processes > Manage Processes.
The overview page of the same name is displayed.
-
Select the Actions tab.
-
Select the Assign Contributors action in the Roles and Permissions tile.
The page of the same name is displayed.
The table shows the BPM Manager all processes of the Process Space, and a Process Owner their own. If there are many entries, it is split across several pages.
-
A filter means less paging: restrict the list of processes using the filters. To do this, click on the filter, set the filter and close the filter selection by clicking on the filter again.
The table is restricted accordingly.
-
Select the check boxes of the processes to which you want to assign the same Process Contributors.
-
Click Execute action on [Number] process(es).
A selection dialog with users, groups, organisational units and organisational roles is displayed.
-
Select the check boxes of the users, groups, organisational units and organisational roles that you want to assign to the selected processes as Process Contributors.
All members of a group or organisational unit become Process Contributors.
-
To remove contributing users, groups, organisational units and organisational roles, clear their check box.
-
To overwrite the current Process Contributors with your selection, click Overwrite.
The selection you want is applied and displayed in the Process Contributors column.
-
To add your selection to the current Process Contributors, click Add.
The selection is applied to the Process Contributors column.
